Information we collect

To deliver consultancy, training and the related services we offer, we may collect and store personal information including but not limited to: name, address, contact phone number, email address, company name, occupation, the courses booked and dates attended, and any pass or completion records associated with our training programmes.

Where you use our learner portal or any AI-tool training environment we provide, we may also store progress data (modules completed, exercises submitted, prompts saved) so that you can return to your work and so we can improve the course content.

All information we collect is held in secure, UK-hosted systems with access restricted to staff who need it to deliver their roles.

Lawful basis for processing (Article 6 UK GDPR)

• Contract: Processing necessary for course bookings, certificates and consultancy delivery.
• Legal obligation: Tax, accounting and statutory record-keeping.
• Legitimate interest: Quality improvement, customer feedback, and marketing (with opt-out).
• Consent: Email marketing and non-essential cookies.

How we use your information

Contact information is used to fulfil the work you have engaged us for, send course confirmations and certificates, and (where you have opted in) to send occasional updates about related services that may be of interest. You can opt out of marketing at any time by replying to any email or using the unsubscribe link.

You may ask us to change or remove your contact information from our database at any time and we will comply within 48 hours.

AI For All will not give away or sell your contact details. We will only use them to provide you with the specific services and information you have requested.

Third-party AI providers

During training and consultancy you may interact with third-party AI platforms (for example Anthropic Claude, OpenAI ChatGPT, Google Gemini, Microsoft Copilot, Perplexity, Midjourney). When you do so, your input is processed by those providers under their privacy policies and terms.

We will tell you in advance which tools a course or engagement uses, and we encourage you not to enter sensitive personal or commercial data into AI tools where you are unsure of the provider's data-handling rules. For organisational engagements we help you evaluate which tools meet your data-protection requirements.

Your rights

Under the UK GDPR you have the right to:

• Access the personal data we hold about you.
• Have inaccurate data corrected.
• Request erasure of your data ("right to be forgotten").
• Restrict or object to processing.
• Receive a copy of your data in a portable format.
• Withdraw consent at any time where consent is the lawful basis.
• Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies and tracking

We use a small number of cookies for essential site function, analytics (so we can understand which pages people find useful) and marketing measurement. A consent banner appears the first time you visit and you can change your preferences at any time using the link in the site footer.

Data retention

We retain personal data only for as long as necessary for the purposes for which it was collected, including statutory and regulatory requirements. Course delivery records may be kept for up to seven years after the course date in line with HMRC and accreditation requirements.
